Invite your team and assign roles
Now that your workspace has been created it's time to bring it to life by inviting your team. This guide will cover inviting team members and managing roles and permissions.
Workspace invite permissions
Your ability to invite others to your workspace depends on your role in Route.
- Owners, Administrators, and Managers can invite team members
- Members can only be invited if they have a functional email address
- Invitations can be sent from the mobile & web app
- Every user within Route must have a role assigned
Roles in Route
Every member in Route has a role and each one has a different level of permissions. Workspace roles are either administrative or non-administrative.
Administrative roles
👑 Owner
Every workspace has a single primary owner who holds the highest level of permissions. Only this user can delete the workspace, change the billing settings, or transfer ownership to someone else.
🤖 Administrator
There can be multiple Administrators and they have the same level of permissions as Owners but cannot adjust the Route account billing information.
👩💼 Managers
There can be multiple Managers for a workspace. They have the same level of permissions as an Administrator but cannot view or change billing information.
Non-administrative roles
🙋♂️ Members
A workspace can have an unlimited amount of Members. Members can perform assigned Walkthroughs, Jobs, and Inspections but cannot create or delete any information within Route.
The chart below shows the complete breakdown of role permissions within Route
Invitation Limits
In certain circumstances, Route may limit your ability to send invitations. This typically happens if you have have selected the Starter tier subscription since the maximum allowed users for a workspace is 3. If you would like to upgrade to the Growth tier, then contact the Owner of your account and upgrade your subscription under Settings. Email support@getroute.com to upgrade your account.
Sending an invitation
There are two ways to invite your users to Route. You can invite users to your workspace from Route's web app or mobile app as long as your role is an administrative role. An invited user must have an email address. Your invited employees will receive an email with a link that they will click to activate their account.
Web app invitation
Click Employees on the left side of your screen within the web app. You will be taken to the employee overview screen seen below. From this screen you can view your employee's First and Last Names, Email Addresses, Roles, and you can edit or trash (delete) an employee. If an employee has not activated their account, they will not appear on this screen. Instead, you can find them by clicking the drop down next to the Add Employee button and selecting "See invited employees". You can resend invites from that screen.
Click Add Employee located in the upper right to invite an employee to your workspace.
You will now be taken to the New Employee screen. The top half of the page contains fields for your invitee's demographic information. The required fields are the employee's Email Address, First and Last Name, and their Role. An Email Address is required to invite the employee. By default, Route will set the employee's role to the lowest tier (member). Enter their information, and then click Done in the lower right corner to send the invite.
Your invited employee will now receive an email with a link to set their password and complete their registration.
Mobile app invitation
You can also invite employees from the mobile app.
Click Manage on the bottom of your screen. This screen allows you to access your Clients, Employees, and past Estimates and Proposals.
Next, click Employees to bring up your employee list.
A list of all of your invited employees now appears onscreen. To invite a new employee, click the "+" icon in the upper right corner.
You will arrive at the New Employee screen. Enter their Email Address, First and Last Name, and select their Role. Once all of the fields are complete, click Save in the upper right corner.
A notification will appear to confirm that you have successfully sent the invitation. Tap OK.
Your invited employee will now receive an email with a link to set their password and complete their registration.
Accepting Invitations
Invited users will receive an email that will state they are being invited to your Route workspace. The user will need to click the Accept Invite button. They will be re-directed to the Route website.
The user will be re-directed to the Route registration page. All they have to do is set their password and click Register to complete setting up their account.
That's it! The invited user is now active for your workspace. The new user will now be able to login with their password on the mobile app and web app!
Resend Invitations
If you need to view invited users who have not completed their registration or you need to resend an invite, you can access the users from the Employees screen. Invites expire after a month. If you need to resend an invite, follow the steps below.
Log in to the web app. Click Employees.
Next, click the drop down arrow next to the Add Employee button in the upper right corner.
Then, two options will appear. Click See invited employees.
This screen will display a list of all users who have been sent an invitation, but have not completed the registration process. To resend an invitation, click the three dots under options, then select Resend Invite.
They will now receive a new invite via email.
Delete or Restore Users
If you need to delete a user from your Route workspace you can do so from the web app.
Log in to the web app. Click Employees.
To delete a user, click the three dots under options on the far right. Then, click Trash.
The user will now be deleted from your Route account and unable to access Route.
If you need to view previously deleted users you can access the list from the drop down next to the Add Employee button. Click the drop down arrow, then select See trashed employees.
To reactivate a user (restore their access) you can click on the three dots under options and select Restore.
What's Next?
